Legal Secretary
Position Overview:
Viable Outsource Solution are seeking a diligent and detail-oriented Legal Secretary to join our team. The ideal candidate will possess exceptional organizational skills, strong attention to detail, and excellent communication abilities. The Legal Secretary will provide crucial support to our legal team by managing legal documents, scheduling appointments, conducting research, and facilitating communication with clients, witnesses, colleagues, and partners.
Responsibilities:
Managing Legal Documents:
- Drafting, editing, and proofreading legal documents, including contracts, briefs, pleadings, and correspondence.
- Organizing and maintaining physical and electronic files of legal documents.
Scheduling:
- Coordinating and scheduling court depositions, hearings, and meetings for attorneys.
- Ensuring timely reminders and follow-ups to maintain an organized schedule.
Filing:
- Filing and indexing important legal documents with courts, government agencies, and other relevant entities.
- Ensuring accuracy and compliance with filing deadlines.
Organizing:
- Organizing and categorizing legal documents to facilitate easy retrieval and reference.
- Implementing efficient filing systems to streamline document management processes.
Maintaining Case Record System:
- Maintaining a comprehensive case record system, including updating case files with relevant information and developments.
- Ensuring confidentiality and security of sensitive legal information.
Communicating:
- Facilitating communication between attorneys, clients, witnesses, colleagues, and partners.
- Responding to inquiries and relaying messages accurately and promptly.
- Maintaining professionalism and confidentiality in all communications.
Researching:
- Conducting legal research using online databases, libraries, and other resources to gather relevant information for cases.
- Compiling statistical data and documentary evidence to support legal arguments and strategies.
Arranging Meetings with Attorney:
- Coordinating and scheduling meetings, appointments, and conferences for attorneys with clients and other parties.
- Ensuring all necessary materials and information are prepared and available for meetings.
Qualifications:
- Proven experience as a Legal Secretary or similar role in a legal setting.
- Proficiency in Microsoft Office Suite and legal software applications.
- Strong typing and transcription skills.
- Excellent organizational and time management abilities.
- Exceptional attention to detail and accuracy.
- Effective written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Familiarity with legal terminology and procedures.
- Bachelor’s degree in Legal Studies, Business Administration, or related field preferred.
